Standaardprocedure en algemene verkoopsvoorwaarden
Reservation modalities
- Buyers should (where possible) book online at www.hospitality.be.
- Hospitality by Zanzibar/seller reserves the right to check reservations against existing agreements and/or partnerships of/with the event.
- As soon as the requested product can be allocated, the buyer will receive an order confirmation email for confirmation. All reservations must be payed on the basis of this order confirmation within 8 days.
- Reservations are only guaranteed if payment is received within the specified time. If payment is not received on time, the seller may unilaterally cancel the reservation without prior notice.
- Once the payment has been registered, the reservation is final and the buyer will receive an invoice for settled.
- If the buyer requests a PO number, this must be provided within 8 days of receipt of the order confirmation. The seller will indicate this number on the invoice (payable within 8 days).
- All arrangements will be broken down on the invoice into a hospitality service portion and a catering portion plus any extras.
- The service charge is €15.00 per reservation excluding 21% VAT.
- There is no right of withdrawal, as the service (reservation of arrangements) is provided immediately and is a leisure service.
Access documents
- All access documents will be issued on a deferred basis (and only upon receipt of payment).
They will be available on the Hospitality.be platform no earlier than 3 weeks before the event - To prevent unauthorised use, an access document is provided with a QR code and/or a unique barcode. These codes are scanned at the entrance.
- Only the first person to present the document will be validly scanned and gain access to the event. Holders of duplicates will be refused entry.
- Our products remain our exclusive intellectual and physical property. Therefore, any reproduction or copy (including vouchers) in any form or by any means is prohibited.
- Any modification, deletion or erasure of any text will invalidate the access document.
- Access documents are only valid for the event and on the day(s) ) indicated on them.
- Unused access documents will not be refunded.
- The staff of Hospitality by Zanzibar and the organiser reserve the right to verify the identity of the purchaser/visitor at any time.
Disclaimer
- Hospitality by Zanzibar reserves the right to make changes to its products.
- Reservations will not be refunded or exchanged for another date or event. Changes to the programme, date or location of the event will not give rise to a full or partial refund. The seller cannot be held liable for force majeure.
- In the case of an outdoor event, the buyer should be aware that this may have adverse consequences (e.g. heavy rain, mud, etc.). The buyer accepts this risk and cannot claim against the seller in this respect.
- The loss or theft of access documents is the responsibility of the buyer/visitor and will not be replaced or refunded.
Commercial or promotional activities
- It is not permitted to offer our products (VIP hospitality packages, parking vouchers, tickets, etc.) for sale. This implies that the buyer is known to the seller at all times. The seller may unilaterally cancel the (paid) reservation if it appears that the purchase was made through an intermediary, without any form of compensation to the original or subsequent buyer.
- It is forbidden to use our products for commercial and/or marketing actions such as incentives and competitions.
- It is forbidden to use the name or image of the performing artists, events, organisers or concert halls.
- It is forbidden to produce any printed matter or other items associated with the performing artists or the events, organisers or concert halls.
- It is forbidden to distribute one’s own promotional material on site or to have a promotional presence at the event.
- If image recordings are made during an event, the buyer/visitor may be represented. By entering the venue, the buyer/visitor waives his/her portrait rights.
The purchase and use of our products implies acceptance of the standard procedure and general terms and conditions of sale. In addition, the terms and conditions of the organisers are always applicable. All terms and conditions (and any disputes relating to them) are governed exclusively by Belgian law.
